Who we are
Collect.fm (“Collect”, “we”) is made by Next Empire BV in the Netherlands. We’re responsible for the personal data described here. Questions or requests: hello@collect.fm.
What we collect
| What | Why |
|---|---|
| Your account. When you sign in with Apple: an Apple user ID, and the email address Apple shares with us (which can be Apple’s private relay address). | To sign you in and keep your albums yours. |
| Your name. The name you choose in the app, or type on the web upload page. | So people in your albums can see who added which photos. |
| Photos you add. A copy of each photo (at most 2048 pixels wide, with location data removed), when it was taken, its size, and a scrambled code of which photo on your phone it came from. | To show them to the people in the album, put them in order, and avoid adding the same photo twice. |
| Albums. The name and dates, who’s in it, who added what, and when the organiser last sent someone a nudge. | To run the album and show who’s still missing. |
| Reports. If you report a photo: which photo and why. | To keep albums safe. |
| Waitlist. Your email address, if you leave it on our website. | To tell you when the app is available. Nothing else. |
| Technical logs. Our hosting providers keep short-lived logs of requests, including IP addresses. | To keep the service secure and running. |
What stays on your phone
To suggest days and trips, the app reads the dates and locations of the photos on your iPhone. This happens on your phone and is never uploaded. To give a suggestion a place name (like “Haarlem”), the app asks Apple’s location service which town a rough location belongs to. That request goes to Apple, not to us.
Photos are only uploaded when you tap Add, and only the ones you selected.
Who can see what
- People in the album see its name and dates, its photos, and the names of the people who joined or added photos.
- Anyone with the invite link sees the album’s name, dates, the organiser’s name and how many photos it has, before they join.
- Nobody else. Albums aren’t public and can’t be found by searching.
We use a few service providers who process data on our behalf, under data processing agreements:
- Supabase stores our database and photos, on Amazon Web Services in Frankfurt, Germany.
- Vercel hosts this website.
- Apple provides Sign in with Apple and place names, under Apple’s own privacy policy.
We don’t sell your data, share it with advertisers, or use analytics or tracking tools in the app or on this website. Fonts on this site are served by us, not by a third party.
How long we keep it
- Photos and albums are kept until you delete them, the organiser deletes the album, or you delete your account.
- When something is deleted, its files are removed from storage within about an hour. Copies can remain in encrypted backups for up to 7 days.
- Waitlist emails are deleted once we’ve sent the launch email, or sooner if you ask.
Deleting your data
In the app, open your profile and tap Delete account. This deletes your account, the albums you organised (including everyone’s photos in them) and every photo you added to other albums. You can also delete single photos you added, or whole albums you organised. If you added photos through the web page, email us with the album link and your name and we’ll remove them.
Your rights
Under the GDPR you can ask to see, correct, export or delete your personal data, and object to or restrict how we use it. Email hello@collect.fm and we’ll reply within a month. You can also complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens.
We process your data because it’s needed to provide the service you ask for (your account, albums and photos), because we have a legitimate interest in keeping the service safe (reports and logs), or because you asked us to (the waitlist).
Children
Collect isn’t meant for children under 13, and we don’t knowingly collect their data.
Changes
If we change this policy, we’ll update the date at the top. If a change matters, we’ll tell you in the app before it takes effect.
